Getting Started

System Requirements

  • macOS 10.14 (Mojave) or later
  • Windows 10 or later
  • Minimum 4GB RAM (8GB recommended for AI features)
  • 3GB free disk space (app is ~2.6GB, plus space for your documents)

First Launch

  1. Install AGYIS FileKeeper from the App Store or download from our website
  2. Open the app — the AI model (Phi-3.5 Mini) will initialize on first launch
  3. Select the folders you want FileKeeper to manage
  4. Wait for initial indexing to complete (time depends on number of files)
  5. Start searching and organizing your documents!

💡 Tip

The first launch may take a few minutes while the AI model loads. Subsequent launches will be much faster as the model caches in memory.

Adding Folders to Monitor

Selecting Folders

  1. Click the Add Folder button in the toolbar
  2. Use the macOS file picker to select your folder
  3. Grant the app permission when prompted
  4. FileKeeper will begin scanning and indexing the folder contents

⚠️ Important

FileKeeper only accesses folders you explicitly select. It cannot see any other files on your system. Access permissions are managed by macOS security and can be revoked in System Settings at any time.

What Gets Indexed

  • File names, types, sizes, and dates
  • Document text content (extracted locally)
  • Image text via OCR (using local Tesseract)
  • Metadata and tags

All indexed data is stored in a local SQLite database on your Mac. Nothing is sent anywhere.

AI-Powered Search

FileKeeper uses a locally-running AI model (Phi-3.5 Mini) to understand your search queries and find relevant documents — even when the exact words don't match.

Full text extraction is supported for documents and OCR-compatible images. Other file types are indexed by metadata.

OCR & Text Extraction

FileKeeper uses local Tesseract OCR to extract text from images and scanned documents, making them fully searchable.

How OCR Works

  1. Add a folder containing scanned documents or photos
  2. FileKeeper automatically detects images with text
  3. Tesseract OCR runs locally on your device
  4. Extracted text is added to the search index
  5. Search for text that appears in your images!

💡 Best Results

OCR works best with clear, high-resolution images. Scanned documents at 300 DPI or higher produce the most accurate text extraction.

Family Member Management

FileKeeper can automatically detect and organize documents by family member, making it easy to find anyone's documents quickly.

How It Works

  1. FileKeeper scans document content for names and identifiers
  2. The AI groups documents by detected family members
  3. You can manually assign or reassign documents
  4. Filter your entire library by family member

🔒 Privacy

Family member detection is performed entirely locally using the on-device AI. No personal information is ever transmitted.

Duplicate Detection

FileKeeper identifies duplicate files using content-based hashing, so even renamed files are detected.

Files are compared by content, not just name — renamed duplicates are still found.

Verify file integrity to detect corrupted or modified files.

Troubleshooting

This is normal. The AI model (Phi-3.5 Mini) needs to load into memory on first launch, which can take 30-60 seconds depending on your hardware.

Solutions:

  • Wait for the model initialization to complete
  • Ensure you have at least 4GB of free RAM
  • Close other memory-intensive applications
  • Subsequent launches will be faster

Steps to fix:

  1. Open System Settings → Privacy & Security → Files and Folders
  2. Find AGYIS FileKeeper in the list
  3. Enable access for the desired folders
  4. Restart the app

Possible causes:

  • The folder containing the file hasn't been added yet
  • Indexing may not be complete for new files
  • The file type may not support text extraction

Solutions:

  • Check that the folder is in your monitored folders list
  • Wait for indexing to finish (check the status bar)
  • Try different search terms or be more specific
  • Re-index the folder from Settings

OCR accuracy depends on image quality:

  • Use images with at least 300 DPI resolution
  • Ensure text is clear and not heavily rotated
  • Good contrast between text and background helps
  • Handwritten text may have lower accuracy

The AI model requires approximately 2-3GB of RAM. This is expected.

  • Close the app when not in use to free memory
  • 8GB+ RAM is recommended for the best experience
  • Memory usage may spike during initial indexing

No. FileKeeper reads your files to create a searchable index but never modifies, moves, or deletes your original files. Your file system remains unchanged.

  1. Delete the app from the Applications folder
  2. Delete ~/Library/Application Support/AGYIS FileKeeper/
